In this tutorial, we will guide you through how to create a standalone Task.
Standalone Tasks are created to complete a job or a multi-step work process that does not need to be linked to an Observation, an Event, or a Work Permit. Note that the process is similar on the mobile app.
How to create a Task:
- Click on your Home page
- Click on "New task". Alternatively, you can:
- Click on the progress bar on the Home page and then select “New task” in the top-right corner
- On mobile, click on the camera icon in the top-left corner, choose "Task" from the two options at the bottom of the screen, and take a photo
- Fill in the following information. Note that sections with an asterisk (*) must be filled out:
- Task description *: To add a subtask, click on the "+" sign in the Task description, fill in the details, and choose an assignee. If you have more than one subtask, you can adjust the order by dragging one over or under the other
- Assignee *: Select a user in charge
- Due date *: Use the calendar to select the date the Task is due. If multiple Tasks are scheduled on the same date and at the same location, a warning will appear in the location section
- Location: Select the worksite from the list or use the arrows to select the jobsite or the area
-
- Team members: Add one or more workers to the Task
- Department: Select the department responsible from the list
- Priority: Can be set to: Low, Medium, High, Critical
-
- Media: Upload media files pertinent to the Task
- Click on "Save" in the top-right corner
💡Note that the creator, assignee, and team members will all get notified when a Task is created and when comments are made. These are also the only workers who can interact with comments.
Once you've created a Task, you can:
- Complete a Risk Assessment to identify whether Work Permits or energy Isolations are required to ensure safe completion of the Task
- View the simultaneous operations that are due on the same day
- Stay up-to-date with the Task information through the audit trail
- Interact with those who are part of the Task in the comment section
