Work Permit Settings

Find out how to edit Work Permit settings.

Meet your company's unique workflows through customized Work Permit settings and improve your organization's safety performance and prevent incidents through consistent working practices and conditions.

If your role has been given permission, you can customize your Work Permits to align them with your organization's processes and regulations on the Work Permit settings page. Click on "Settings" on the Company page and select “Work permits”. On this page, you will be able to view and adjust the following settings:

Find out what you can do in each section of the Work Permit settings page. Note that all of these actions are similar on the mobile app.

💡 Changing or creating Work Permit rules will not affect existing Work Permits that precede the changes.

 

Default Permit Signatories

View the default work permit signatories in the Work Permit settings and, if your role has been granted permission, edit them to set the time it takes for a signature to expire. To do so:

  1. Navigate to the Company page in the menu
  2. Click on "Settings"
  3. Click on "Work permits"
  4. Click on "Default Permit Signatories" to view the signature validity, issuing signatures, supervising signatures, and performing signatures
  5. To edit the signature validity, click on "Edit" in the top-right corner of the page
  6. The default is 12 hours, but you can choose from any number between 1 and 72
  7. Once you have chosen the maximum time that a signature is valid, click on "Save" in the top-right corner

💡 To give a role the permission to sign a Work Permit, edit a role, and toggle on "Final signature on a work permit", "Performer signature on a work permit", and/or "Supervisor signature on a work permit" in the Work Permits section.

 

Permit Validity

View the validity period for Work Permits and, if your role has been granted permission, edit the maximum duration a Work Permit can be valid for. To do so:

  1. Navigate to the Company page in the menu
  2. Click on "Settings"
  3. Click on "Work permits"
  4. Click on "Permit Validity"
  5. To change the Work Permit maximum validation period, click on "Edit" in the top-right corner
  6. The default validity is set to 7 days, but you can change it to any whole number greater than 1
  7. Once you have set a new maximum Work Permit validity time, click on "Save" in the top-right corner

 

Permits Requiring a Rescue Plan

View the list of Work Permit types that require a rescue plan in the Work Permit settings and, if your role has been granted permission, edit the list. To do so:

  1. Navigate to the Company page in the menu
  2. Click on "Settings"
  3. Click on "Work permits"
  4. Click on "Permits requiring a rescue plan"
  5. To select or deselect the Work Permits that require a rescue plan, click on "Edit" in the top-right corner and make your adjustments
  6. Click on "Save" in the top-right corner

 

Atmospheric Testing

View the atmospheric testing parameters in the Work Permit settings and, if your role has been granted permission, edit the parameters. To do so:

  1. Navigate to the Company page in the menu
  2. Click on "Settings"
  3. Click on "Atmospheric testing"
  4. To edit the atmospheric testing parameters, click on “Edit” in the top-right corner
  5. Click on each section to add or edit the:
    • Maximum % of LEL
    • Minimum of % O2
    • Maximum % of 02
    • Maximum ppm CO
    • Maximum ppm H2S
  6. Once you’re done, click on “Save” in the top-right corner

 

General Work Permit Questions

Each Work Permit type has its own set of permit requirements. Some Work Permits share permit requirements, so these requirements fall under the category "General Work Permit Questions". If your role has been granted permission, you can view, add, edit, or archive general Work Permit questions. To do so:

  1. Navigate to the Company page in the menu
  2. Click on "Settings" 
  3. Click on "Work permits"
  4. Click on "General work permit questions" to view, add, edit, or select the general Work Permit questions

To select the questions that should be added to the general Work Permit question list:

  1. Click on the question(s) to mark the circle on the left-hand side with a checkmark or to remove the checkmark
  2. Click on "Save" in the top-right corner.

 

To add a question:

  1. Click on “Add company question”
  2. By default, the question will be mandatory, but you can toggle it off
  3. Add the details
  4. Click on “Save” in the top-right corner

 

To view the details of a question, edit, or archive it:

  1. Click on the information icon located on the right-hand side
  2. Click on “Edit”
  3. To edit it, toggle “Mandatory” on or off and/or adjust the details, and then click on “Save” in the top-right corner
  4. To archive a question, click on “Archive”

 

💡 Note that mandatory questions are marked with an asterisk (*)

 

View and Edit Work Permit Types

Under the "Work permits available" section, you can:

  • Click on a Work Permit type to view, edit, or archive the Work Permit type

To edit a Work Permit type, click on "Edit" in the top-right corner and make adjustments to the title, description, standby and rescue personnel, signatories, atmospheric testing requirements, or questions in the permit requirements.

💡 To archive a Work Permit type, click on "Archive work permit type" at the bottom of the page.

  • Click on "Edit" in the top-right corner of the section to:
    • Select and deselect the Work Permit types that are available to all

To edit the list of Work Permit types, click on Work Permits type names in the "Work permits available" section to add them to the list or click on those with a checkmark at the top of the page to remove them from the list. Click on "Save" in the top-right corner of the page when you're done.

💡 To view, edit, or archive a Work Permit type, click on the information icon beside the Work Permit and click on "Edit" in the top-right corner to make adjustments.

    • Add a Work Permit type by clicking on "Add work permit type"

To add a Work Permit type, fill in the name and details, click on "Save" in the top-right corner, and then fill in the details of the Work Permit type. Once you've filled in all applicable information, click on "Save" in the top-right corner.

💡 To add any Work Permit types that you created to the list of selected Work Permits, add or enable questions to the Work Permit type.
